Finance and Administrative Assistant
PRINCIPAL DUTIES AND RESPONSIBILITIES
• Manage day-to-day office administrative operations
• Assist Finance Officer with financial reports as needed, including organizing office finances, petty cash management, filling, and all other office support systems
• Act as a first point of contact for external visitors and internal staff
• Maintain office equipment and facilities
• Ensure timely purchase and delivery of office supplies and equipment needed
• Maintaining an up to date appointment schedule for Management in relation to meetings and other activities
• Prepares both confidential and general correspondence (internal & external)
• Attends meetings, takes minutes and distributes final copy
• Submits personnel contracts
• Reconciles vacation and sick time for department
• Books travel as required
• Tracks and records departmental professional developmental activities
• Orders office supplies and ensures all office equipment is in working order
• Prepared bank deposits compiling data from registers
• Processed vendor's purchase orders, invoices, payments
• Perform other duties and support other staff members as needed

QUALIFICATIONS
• Bachelor’s degree or equivalent experience required. Degree in accounting, finance, or business administration.
• Minimum of 2 years finance experience is required.
• Minimum 3 years of experience in a fast-paced office setting desired.
• Proficiency in Microsoft Word, Outlook, and Excel. Comfort learning other software as needed.
• Ability to communicate effectively both verbally and in writing.
• Ability to work with confidential information.
• Ability to read, write, and speak English.
• Strong interpersonal and organizational skills.
• Minimum of 2 years finance experience is required.
